Information We Collect
For clients:
- Personal details: Your name, date of birth, address, phone number, and email.
- Health Information: Your medical history, symptoms, current medication, and treatment notes. This is known as Special Category Data.
For website visitors:
Comments
When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.
An anonymised string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service Privacy Policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.
Media
If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.
Cookies
Our website uses cookies to distinguish you from other users of our website. This helps us to provide you with a good experience when you browse our website and allows us to improve our website. Our Legal Basis for Holding Your Data
Because I hold health information, the law requires me to meet two different steps under the UK GDPR:
- Step 1: The Lawful Basis (Article 6)
I process your basic personal details under Article 6(1)(b) Contract. This is because I need your information to fulfil our agreement to provide you with treatment, book your appointments, and take payments. I may also rely on Article 6(1)(f) Legitimate Interests to maintain records for
business and insurance purposes. - Step 2: The Special Category Condition (Article 9 Explained)
Health records are highly private, so Article 9 normally bans people from holding them. However, the law provides exemptions. I hold your health data under Article 9(2)(h). This rule allows me to handle sensitive health information because it is necessary for the provision of health or social care or treatment. Under UK law (the Data Protection Act 2018), this applies
to private therapists who operate under a professional duty of confidentiality.
How do we use this information?
Your information is strictly confidential. I will never sell your data or share it with third parties for marketing. I will only share your information if:
- You ask me to share it (for example, sending notes to your GP).
- I am legally required to do so by a court of law.
- There is an immediate risk to your life or safety.
Most commonly, we will use your personal data in the following circumstances: We will ask for your consent before using information for a purpose other than those that are set out in this privacy notice.
Marketing
We strive to provide you with choices regarding certain personal data uses, particularly around marketing and advertising. We may use your contact details and technical data that we collect about you, such as your IP address and the way you browse our website to form a view on what we think you may want or need, or what may be of interest to you. This is how we decide which products, services and offers may be relevant for you (we call this marketing).
You will receive marketing communications from us if you have requested information from us or purchased goods or services through us or if you provided us with your details when you entered a competition or registered for a promotion and, in each case, you have not opted out of receiving that marketing.
You can ask us to stop sending you marketing messages at any time by following the opt-out links on any marketing message sent to you or by contacting us at any time at michael@reclaimyourhealth.co.uk.
Change of purpose
We will only use your personal data for the purposes for which we collected it, unless we reasonably consider that we need to use it for another reason and that reason is compatible with the original purpose. If you wish to know how the processing for the new purpose is compatible with the original purpose, please email us at michael@reclaimyourhealth.co.uk.
If we need to use your personal data for an unrelated purpose, we will notify you and we will explain the legal basis which allows us to do so.
Please note that we may process your personal data without your knowledge or consent, in compliance with the above rules, where this is required or permitted by law.
Who we share your data with
Practice Better is an electronic practice management tool which stores health records, appointment information, and communication between practitioners and clients. For more information on the privacy practices of Practice Better, please visit: https://practicebetter.io/privacy/
We will disclose your personal information (i) to any third party to whom disclosure is necessary to enable us to fulfil your orders and provide you with any service which you have subscribed to; (ii) where required to do so by law or court order; and (iii) to any person to whom disclosure is necessary to enable us to enforce our rights under this privacy notice or under our Terms and Conditions.
Where do we store your information?
All personal data we process is processed by our staff in the UK and stored in North American data centers operated by Amazon Web Services (AWS) and Box.com, located in the United States and Canada. This includes both primary storage and backups.
Stripe is based outside the European Economic Area (EEA), so their processing of your personal data will involve transferring your data outside the EEA.
Whenever we transfer your personal data out of the EEA, we ensure a similar degree of protection is afforded to it by ensuring at least one of the following safeguards is implemented:
Where we use certain service providers, we may use specific contracts approved by the European Commission which give personal data the same protection it has in Europe.
Where we use providers based in the US, we may transfer data to them if they are part of the Privacy Shield which requires them to provide similar protection to personal data shared between the Europe and the US.
Appropriate security measures will be adopted to protect your information from access by unauthorised persons and against unlawful processing, accidental loss, destruction and damage.

Once we have received your information, we have a Data Protection regime in place to oversee the effective and secure processing of your personal data and we will use strict procedures and security features to try to prevent unauthorised access.
Unfortunately, the transmission of information via the internet is not completely secure. Although we will do our best to protect your personal data, we cannot guarantee the security of your data transmitted to our website at transmission stage; any transmission is at your own risk.
How long we retain your data
I keep your records secure for at least 7 and no more than 8 years after your last treatment. This time frame aligns with standard industry insurance requirements and professional association guidelines. For children, records are kept until they turn 25.
If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognise and approve any follow-up comments automatically instead of holding them in a moderation queue.
For users that register on our website (if any), we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.
What rights you have over your data
Under UK data protection laws, you have specific rights regarding your personal information. Most notably, you have the Right of Access.
Other rights: You also have the right to ask me to correct mistakes in your records or restrict how I use your information in certain situations.
Requesting a copy: You can ask for a copy of the personal details and health records I hold about you at any time.
The response timeline: I will normally provide this information within one calendar month of receiving your request.
“Stopping the clock”: If I need to ask you for proof of identity, or if I need to clarify exactly what information you need, the one-month countdown pauses. The clock restarts as soon as you provide the necessary details.
Proportionate searches: In line with the law, I will conduct a reasonable and proportionate search to locate your data within my record systems.
How to Complain about Data Processing
If you have any concerns or are unhappy with how I handle your personal information, you have the right to lodge a formal complaint directly with me.
How to submit: Please send your complaint in writing to michael@reclaimyourhealth.co.uk or use the contact details at the top of this notice.
What to expect: In line with UK data protection rules, I will acknowledge your complaint within 30 days of receiving it.
Investigation: I will investigate your concerns thoroughly and provide you with a clear, final outcome without undue delay.
Escalation: If you remain unhappy with my final response, or if I fail to respond, you then have the right to escalate your complaint to the Information Commissioner’s Office (ICO).
Changes to our Privacy Policy
Any changes we make to our privacy notice in the future will be posted on this page and notified to you by e-mail. By continuing to use this website, you are agreeing to the changes that have been made, and any future changes, to the policy.
You may choose to prevent this website from aggregating and analyzing the actions you take here. Doing so will protect your privacy, but will also prevent the owner from learning from your actions and creating a better experience for you and other users.
